Not sure which receipt belongs to a ring, or when a bracelet was last checked? A gold jewellery inventory gives you a place to keep those details. Start with one piece and add the rest of your collection gradually.
1. Give each piece a name and photos
Use a simple reference, such as R01 for your first ring. Take an overall photo and close-ups of identifying details, including engraving or patterns. Record the type, colour and visible features so you can match each entry to the right piece.
2. Copy the receipt details
Record the purchase date, shop, weight and purity exactly as stated in the documents. Mark missing information as “not yet confirmed” instead of guessing. Keep a receipt copy under the same reference. Distinguish documented figures from personal estimates; photos and inventory notes do not replace authentication.
3. Record servicing and changes
After professional cleaning, repairs or resizing, add the date and work performed. Attach the service receipt if available. If a new weight or condition description is provided, record its source so earlier and later information remain easy to distinguish.
4. Review your records and keep them private
When reviewing your collection, match the pieces to their photos and documents. Update entries for items given away or no longer owned. Keep a backup with restricted access, and avoid publicly sharing storage locations or details of your entire collection.
Start with a simple record
A simple inventory that you keep up to date is easier to use than an elaborate list you rarely maintain. Begin with a reference, photos and receipt details, then add changes as they happen.
